Cancel permit application

To cancel an existing permit you can apply to the NHVR through the Customer Portal or submit a Cancel permit application form (PDF, 324KB).

Replacement permit application

To replace a permit that has been defaced, destroyed, lost or stolen you can apply to the NHVR by submitting a Replacement permit application form (PDF, 304KB).

Do I need an amendment permit?

The NHVR allows the holder of a permit to request an amendment to an existing permit in limited circumstances. The NHVR processes amendment permit applications for all permit types issued by the NHVR. For all other permit amendments (including any travel within the Northern Territory and Western Australia), you will need to apply directly to the relevant state or territory road transport authority.

Operators can submit an amendment permit application for the following reasons

  • Adding/removing registration numbers for the same vehicle specification
  • Changing company trading name or details, such as postal/physical addresses
  • Request to amend road and travel conditions
  • Minor variations to route - Please note: The difference between a minor route variation and adding a route or area can be found in the Permit Amendment fact sheet (345KB).

IMPORTANT: The Heavy Vehicle National Law only provides that the holder of a permit may request an amendment to an existing permit. If your permit is expired at time of application, you will need to submit a new permit application form.

An amendment permit application will NOT be accepted for the following reasons (operators will need to submit a new permit application instead)

  • To amend the areas or routes to which the permit applies. Applicants applying for multiple additional routes (more than one) will be required to apply for one route per application form. One route will be considered as one new destination and/or origin point.
  • A change in vehicle details, where the specifications (such as mass and dimension) are greater/lesser compared to the original permit issued.
  • Adding a heavy vehicle which is a different configuration to the original permit issued (e.g. adding a rigid truck to a permit that was originally for a prime mover and semi-trailer combination).

For an extension of time on the permit duration, an applicant will be required to submit a Renew permit application

Checklist - Amend permit application

To speed up your application process and to minimise requests for further information, the NHVR recommends you check the following:

Applications are fully completed The Customer Portal will automatically flag any incomplete fields in your permit application. If any sections are incomplete or ineligible, it will be returned to you for finalisation or improvement before we are able to process the permit application.
Applicant details Use the Customer Portal to keep your company or individual particulars up to date at all times. The Customer Portal will automatically fill in the relevant information based on your account details. Be sure to use the same company name every time. Applying under different company and trading names will delay your application.
Regulator Customer Number (RCN) Your RCN is linked directly to your ABN to ensure all of your applications for permits are in one place. If you don't have an RCN, it will be created for you the first time you register for the Customer Portal. If you have an RCN you do not need to complete Section 1 of the applcation form.
Permit details

Particular attention should be given to ensure the NHVR permit number and version number is correct.

If you are amending a permit that was issued by a jurisdiction and not the NHVR, please provide a copy of the original permit with the application.

Please ensure you have completed Section 4 of the application form correctly. Incomplete or unreadable information will be returned for your completion and delay the processing of your application.

Particular attention should be given to ensure the NHVR permit number and version number is correct.

If you are amending a permit that was issued by a jurisdiction and not the NHVR, please provide a copy of the original permit with the application.

Vehicle Details Please ensure the amendment type is specified (Add, Remove or Amend). Particular attention should be given to ensure the vehicle registration numbers and vehicle identification numbers (VIN) are correct.
Signature There is no need to provide a physical signature as the Customer Portal recognises your unique user profile and therefore knows who lodged the application. You will be required to check a box declaring that all details in the application are true and correct. The terms of use for the Customer Portal cover the requirement around signatures when you first access the Portal. Each application is required to be signed before it can be processed (digital signatures are permitted). If your application is not signed you will be advised to re-send another signed application page before your permit is processed.

Application submission

The quickest way to submit applications is through the new Customer Portal. The Customer Portal will notify you that your application has been sucessfully submitted.

Submit your application ONCE only. If you submit your application more than once through multiple channels, this will slow processing down while we make sure we are working on the right application for you.

Submit only one application per fax. Each application will need to be sent through on a separate fax.
