Keeping your key information up to date is an important aspect of managing your accreditation. We are here to support you to make sure your operation remains safe and complies with the accreditation requirements.

Accreditation labels

Each nominated vehicle must display an accreditation label.

  • Accreditation labels must be placed on the nominated vehicle. Each label has a unique ID that is linked to the accreditation holder and nominated vehicle list.
  • Affix labels in clear view on, or adjacent to, the driver’s side door (preferably at eye level).
  • If a label is lost or damaged, reorder a replacement within 14 days. There is no charge for replacement labels.

How to order labels?

Orders for accreditation labels need to be made in NHVR Go login.

Note: While waiting for new accreditation labels to arrive, the approval letter must be carried in the vehicle (for a maximum of 21 days after the letter has been issued).

How to affix accreditation labels

Labels for prime movers and rigid trucks

Place the label so that it can be read from the outside of the vehicle and is not wholly or partly obscured, defaced or otherwise not legible. Penalties apply to both the operator and driver. We suggest the label be placed adjacent to the driver’s side door (at eye level).

Labels for trailers

We recommend trailer labels should be affixed to a piece of Perspex (or similar) and attached to the rear of the trailer in clear view as near as possible to the number plate.

Steps for affixing labels:

  • Make sure the surface is cool and clean.
  • Make sure your hands are clean.
  • Do not handle the adhesive side of the label excessively.
  • Press down firmly when applying.
  • Do not apply to fuel tanks, bull bars or chassis rails, as labels may not adhere correctly.
  • Give the label time to set.
  • Do not wash the vehicle for at least 24 hours to allow the adhesive to cure.

Notifiable occurrence reporting

You are required to notify us if you have a notifiable occurrence or incident. We gather this information to inform the transport industry of any widespread safety-related concerns.

What is a notifiable occurrence?

A notifiable occurrence is a significant or major accident or incident that involves a nominated vehicle or driver that has, or could have, caused significant property damage, serious injury or death and may include any of the following:

  • A significant or major accident or incident involving a nominated vehicle, or a driver operating under the scheme.
  • A fire in a nominated vehicle or a fatigue-nominated driver driving a vehicle that isn’t a nominated vehicle.
  • A medical emergency involving the driver of a nominated vehicle or a driver operating under scheme.

Note: Workplace slips, trips and falls are not notifiable occurrences.

What are the timeframes for reporting notifiable occurrences?

What is the difference between significant and major?

A significant accident or incident involves:

  • injuries requiring hospitalisation and/or
  • damage to property which presents a significant risk that requires considerable effort to avoid further impact or damage during recovery and clean-up.

A major accident or incident involves:

  • a fatality and/or
  • damage to property with a major impact on life, property or the environment, generally accompanied by a high-level emergency response and clean-up and recovery operation.

How is a notifiable occurrence reported?

You must report notifiable occurrences in NHVR Go login as an ‘incident report’. Only details relating to the nominated vehicle(s) or driver(s) operating under Alternative Compliance Accreditation must be included. Do not include personal details relating to drivers.

Update drivers

If you operate with Alternative Compliance Accreditation (ACA) – Fatigue, you are required to maintain a list of current drivers and their details. You must update the list as soon as possible when adding a new driver, removing a driver, or updating the driver’s details.

When a new driver is added, you must:

  • induct the new driver into your organisation’s relevant fatigue safety management system
  • provide the new driver with a copy of the accreditation certificate
  • provide the new driver with a letter stating that:
    • they are operating under the operation’s accreditation
    • they have been inducted into the management system
    • they meet all requirements as a driver operating under the operation’s accreditation.

How to update?

If there are changes to your nominated drivers, you need to update this in NHVR Go login.

Update vehicles

You must keep vehicle details up to date. This includes notifying us when vehicles are added to or removed from an accredited fleet, transferred between scheme members, sold, or when key details change, such as registration.

Maintaining current vehicle records supports audit integrity, ongoing compliance, and the effective management of accreditation conditions in the HVA scheme.

How to update?

Changes to nominated vehicles need to be made in NHVR Go login.

Selling an accredited vehicle to a non-HVA scheme member Advise us by submitting an ‘update vehicles’ application in NHVR Go. Store interception books to meet book-keeping requirements, and remove and destroy all labels.

Active Vehicle Module (AVM) search

Active Vehicle Module (AVM) search

AVM search allows you to check in real time if a vehicle is currently accredited under the HVA scheme. The search does not provide any details about the registered owner of the vehicle and will only return a result if the vehicle is currently nominated as "Active".

Information on the AVM search is made available to you, your employers, employees and contracting parties, for the purpose of verifying the accreditation nomination of a vehicle for which you are a responsible person, or in respect of which you are authorised under the HVNL to conduct auditing, enforcement or compliance activities.
